NCC Booking Policy

These terms and conditions apply to all courses purchased from Nottingham Climbing Centre via our website or directly from the centre (phone or at reception). For group bookings and private events, please refer to our Group Bookings Terms and Conditions.

  1. Participation Statement
    "The British Mountaineering Council recognizes that climbing and mountaineering are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own actions and involvement."
  2. Personal Property
    Nottingham Climbing Centre accepts no responsibility for any loss of or damage to personal property, whether in lockers or not.
  3. Cancellations by Customer
    If you contact us at least 24 hours before the start of the course, we can move you to another course or issue a full refund. Our preferred method of contact is by telephone on 0115 998 8233, as your inquiry can be dealt with immediately. Alternatively, you may email us at info@nottinghamclimbing.co.uk.
  4. Cancellations by Nottingham Climbing Centre
    Occasionally, Nottingham Climbing Centre will need to cancel a course if we do not have enough bookings. In this case, we will contact you 24 hours before the course to offer a transfer to another course. If this is not possible, we will suggest altering the course to reflect the lower student-to-instructor ratio. For example, we may offer three hours of private tuition instead of a five-hour group course. Alternatively, you may be offered a voucher for the amount of the original purchase. If this is not acceptable, you are entitled to a full refund of the course price.
  5. Declaration of Medical Conditions
    It is the responsibility of the customer to make Nottingham Climbing Centre aware of any medical or other conditions that could affect participation in the course, particularly conditions that could affect the safety of yourself or any other participant. We will make reasonable efforts to accommodate all customers, but we reserve the right to refuse you a space on a course if we believe that your condition could be detrimental to other participants. In this case, we will suggest an alternative, such as private tuition, or we will offer a refund.
  6. Removal from Course
    We reserve the right to remove any customers from the course if we believe their participation is detrimental to other participants or users of the centre. If this is due to a declared disability (physical or otherwise, see Section 5), we will offer a refund or an alternative, such as private tuition. Other reasons may include, but are not limited to, intoxication, abusive behavior, or refusal to follow safety instructions. We will not offer a refund in these cases.
  7. Transfers
    If you would like to transfer to another course, please contact us at least 24 hours before the start of the course, and we will move you to another course, subject to availability. Please note that we will only move customers once. A fee may be charged for further transfer requests.
    We can, at any time and for no extra charge, transfer your course booking to someone else as long as they satisfy any age requirements set for the course.
  8. Refunds
    Refunds for online bookings can only be made to the original purchaser and to the card used to purchase the course. Refunds will not be made to a third party.
  9. Courses for Under 18s
    Most Nottingham Climbing Centre courses are for adults aged 18 and over when the course starts. For children’s courses, age limits are specified in the course description. All children must have parental consent to climb at the Nottingham Climbing Centre. It is the responsibility of the course purchaser to ensure they have obtained the necessary consent. If a child arrives for a course without the consent form, the Nottingham Climbing Centre reserves the right to turn them away without a refund.   10. Payment Card Information
    Nottingham Climbing Centre complies with the Payment Card Industry Data Security Standard (PCI DSS) and only uses third parties that are PCI DSS compliant. Online bookings are managed by a compliant third party, and no card information is kept by Nottingham Climbing Centre. Nottingham Climbing Centre will not accept credit card information by email or fax. Merchant copies of credit card receipts are securely stored. Customer copies will be given to the customer. The security of customer card receipts is the responsibility of the customer.
  11. Data Protection
    We may collect information via our website or on forms at the centre. Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we have a legal duty to keep your information secure and ensure the data we hold is accurate, adequate, relevant, and not excessive.

What information is collected?

We may collect the following information:

* Name and contact information, including address, email address, and phone number

* Emergency contact information

* Relevant medical information

What is the information used for?

We will only use your data in relation to the services and products you use or purchase from us. We may send you notifications regarding changes that may affect our service to you. We will not pass your personal, identifiable information to third parties, though we may share non-identifiable, statistical data with third parties.

Your rights

The UK GDPR grants you the right to access any data we hold about you. To gain access to this data, a fee may be required to cover our administrative costs. Data Security

All information is stored securely on restricted-access servers. Nottingham Climbing Centre has an Information Security Policy, and staff are trained to handle personal information securely.

About these terms

We may modify this policy and any terms that apply to a service provided by Nottingham Climbing Centre to reflect changes in the law or changes to our services. The applicable terms and conditions will always be available on our website. If you do not agree to the modified terms for a service, you should contact us to discontinue your use of that service.
